IWA Gazebos: All you need to know

The Gazebo Kits

IWA has several branded 3m x 3m gazebos available for branches and regions to use.  Some are stored by CityB Group, in Stoke-on-Trent, and two are stored at IWA’s Office at Berkhamsted, which is North West of London.  Location of the CityB Group store is here.

Each gazebo kit consists of two bags. 

The frame assembly is in a long wheeled storage bag – its long dimension is 160cm and the other dimensions are approximately 45 x 45 cm. 

The other bag contains the canopy and side panels, plus the securing straps, ground pegs, etc. Both bags are quite heavy, but can be carried by one fit and healthy person if necessary.

The gazebo has three side panels with the logo printed on the outside and the inside blank. The other panel has the logo on the outside and the IWA/Imrays waterways map on the inside, which can be used as a talking point to engage visitors. There aren’t any separate door or window panels, so during an event you have to take off one or more side panels as appropriate for the site and the weather.

Assembly and dis-assembly is straightforward, but full instructions are available here. It has been noted that the side panels can attract condensation if left overnight, so those that will not be used during the day need to be dried before putting away.  See also the Toolbox Talk here.

Requesting a Gazebo

Gazebos should be requested using our online form

Please do not contact CityB directly to request the use of a gazebo. 

One person should be delegated to request gazebos on behalf of your branch or region. Please fill in this form for each event for which you would like to request a gazebo.

You can also request gazebos to be couriered to you from Stoke-on-Trent if required, but they will need to be returned in person.  Please select ‘other’ for the multiple choice question in the form and add your instructions.

INSTRUCTIONS FOR COLLECTION AND RETURN OR COURIER

Gazebos will be available for collection by branches from both locations, but a courier can also be arranged by CityB to any UK address.  Please note – an address should be an actual postal address, such as your home address, and not a festival field.  Ideally, you should have the gazebo delivered to your address at least one day in advance.  

Branches will need to request the gazebos via the form above. We will get in touch to let you know whether your requested dates are available. 

Please note: Please notify CityB or IWA staff of any problems with gazebos received including damage, dirt, or if the gazebo incurs damage during your event.  Ensure you return any pegs and ropes with the frames, and make sure the gazebo is clean and fully dried out before you return it. Replacement pegs and ropes will be charged at £25.  There are no facilities at CityB or IWA’s office to clean or dry gazebos – Please do not return them until they are both dry and clean, and ready for next use.

COLLECTION AND RETURN

Collection Times (for both locations): Monday to Friday, 9 a.m. to 5 p.m.

On collection you will be asked to sign out the gazebo.  

When you return the gazebo, you will be asked to sign it back in again. Note that the returned gazebo will not be checked automatically. As the gazebos are not checked when they are returned it is really important that you ensure that ALL components are packed securely when you take down the gazebo.  Otherwise it could be you erecting a gazebo in a muddy field with a key component missing!

COURIER

An email address will be required for tracking the package. 

Please ensure that the gazebos are returned packed securely back in any boxes that they are sent out in.  All gazebos must be returned in person – they must not be couriered.

Additional Notes on gazebos based at Stoke-on-Trent

Each gazebo kit comprises:

  • Aluminium frame in a wheeled bag approx 160cm x 45cm x 45cm
  • Large black bag containing canopy and 4 wall panels, one of which is printed with the IWA/Imrays canal map, and also a smaller white bag containing the following accessories
    • 6 white leg wraps
    • 8 webbing stays
    • 8 large ground pegs in a black peg bag
    • 12 medium ground pegs in a black peg bag
  • In addition the Green Kit has 4 cord stays and the Blue Kit has a number of small ground pegs, suitable for the eye holes along the base of the wall panels.

For any bookings you make, please check quantities on assembling and dis-assembling the gazebos, notifying Michael Haig of any discrepancies. Please replace the accessories into the white bag before placing it inside the black bag for return. (Seems simple, but it’s not always done and that’s how things go missing!)

Two additional issues regarding the City B storage facility which, for the time being is still provided free to IWA:

  1. Unfortunately, due to staff shortages, particularly in the peak summer months, City B cannot unpack and dry out kits returned wet. If you’re unlucky enough to have to pack up in the wet, please do your utmost to clean and dry your kit before returning it to City B, otherwise there is a high risk of the next user receiving a damp, mould-stained gazebo. It could be you!
  2. Due to problems encountered with carriers, while we can still offer despatch of gazebo kits by courier, we can no longer offer couriered returns to Stoke-on-Trent. If branches or groups need a courier delivery, unfortunately they will have to arrange for an in-person return. Also, just as a reminder, there is a cost to IWA for courier deliveries.
