Membership Secretary

The role

The role of Membership Secretary will vary from branch to branch and region to region, depending on the roles of the other committee members, but duties may include:

  • Recruiting new members
  • Informing Head Office of any changes or errors in records that the branch becomes aware of
  • Welcoming new members
  • Keeping your committee informed of membership matters

Recruiting new members

Supplies of membership forms to distribute at events or local outlets are available from the Chesham office (01494 783453 or [email protected]).

Regular Updates

At the start of each month, where requested, branches can be emailed reports detailing the major changes made to memberships in the branch area over the previous month. These include, new members, lapsed members, those that have joined from another branch or moved to another branch.  The membership software does not allow for the production of reports showing all changes to membership details (e.g. lists of name & address changes, amendments to subscription type, etc). For this reason, it is impossible for branches or regions to maintain an accurate set of membership records independent of the Chesham office.  The only means of obtaining an accurate list of current members is to request it from the membership team at Chesham ([email protected]).  In line with Data Protection and security requirements, any data provided should be destroyed by deletion or shredding as soon as it is finished with or after a maximum of three months as it is deemed to no longer be current.

 

Welcoming New Members

Of the reports, which are supplied each month, the New Members report and New To Branch report are particularly useful as they enable membership secretaries to contact and welcome new members personally and to inform them about meetings and events.  Staff at the Chesham office send new members a Welcome Pack on joining, consisting of:

  • A welcome letter including membership card on IWA headed paper
  • A Direct Debit form and Gift Aid leaflet (where the member hasn’t already completed them).
  • An IWA member window sticker.
  • A copy of the current Waterways magazine.
  • Any events flyers we have in stock e.g. for Cavalcade, WRG.
  • Any information they specifically requested on joining.

The welcome letter from the Chesham office is intended as a general welcome from the Association, but the welcome from branches or regions can be more specific, giving information of local events, meeting places and ways to get involved. Branch and region membership officers may also have the opportunity to encourage the introduction and integration of new and existing members at meetings and events, thereby improving retention.

Branch and region mailings to members

Emails can be circulated to members within the branch area (that we hold email addresses for), just email your request and chosen wording to [email protected].  Should you wish to post a mailing to your members this can be done from the Chesham office. In this way the branch can benefit from the cheaper bulk rates we are able to achieve. The cost of paper, printing, envelopes and postage will be invoiced to the branch.
